University Key Management System – Success Story

To ensure the safety of students and staff, a local University needed an updated key management system for their various facilities and assets. Staff access needed to be controlled, and they needed to implement an authorization process for keys taken for shifts and being returned at the end of the day. The number of keys “in the wild” needed to be eliminated, and the replacement costs for missing keys was a burden.

The Solution

After looking at all of the options, the Key Systems, Inc. Security Asset Managers (SAMs) with Global Facilities Management System (GFMS) software was selected for it’s high level of security, flexibility, real-time functionality, durability, and ability to be updated for many years of reliable and secure service. The product and software are easy to deploy and manage with minimal training.

These high-security features are necessary for room keys, grandmaster keys, and other access cards. The authorized user is able to access their keys from the key box at work each day, and if the keys are not returned during the scheduled time frame, the supervisor receives real-time alerts notifying them of the incident. Students often leave their keys in the room or misplace their keys. At the student housing facilities, a key box is a secure way to provide spare keys to access the student’s rooms. The onsite Resident Assistant is able to go to the secure key box and retrieve the room key for student access. This also alerts staff that a key may be lost and the room can be rekeyed immediately for the safety of the student.

Outcome

With the new key management system in place, the University is secure, and has a streamlined process for re-keying. The students and staff are safe, and the school is pleased with the cost savings of replacing lost keys.
